Chiefs' Duties

Chiefs look after their teams, organise department activities and help crewmembers feel at home aboard the Typhon.

To all Chiefs: Lead by example. Help your team find ways to take part, keep projects moving and let Command Staff know when your department needs support.

General duties for every Chief

Supporting your department

  • Send a monthly department report to the CO, XO and SO. Ask Command Staff if you are unsure where to send it.
  • Welcome new crewmembers and help them settle into the department.
  • Encourage members to log in to the ship's roster and update their character profile, crew photo and other relevant details. Help them get access if they need it.
  • Share your skills and help department members learn.
  • Organise department projects and keep everyone involved up to date.
  • Invite members to participate without pressuring them when real life gets in the way.
  • Notice good work and speak with interested members about new responsibilities.
  • Help the team follow chapter rules and event arrangements.
  • Work with other Chiefs and Command Staff on shared activities.
  • Help sort out minor misunderstandings. Bring serious or ongoing concerns to Command Staff.
  • Keep useful records of department events, projects and contributions. Handle member information with care.
  • Check roster records for time in rank, points and awards where those details are available.
  • Send promotion and award recommendations to Command Staff for review.
  • Encourage members who want to make props, costumes or themed displays.
  • Let your team know about our uniform arrangements. The Picard Season 2/3 flap-style uniform is our usual look. It is required for Typhon crew attending Sydney Oz Comic Con on Saturday. On Sunday, crew can wear a costume from any Star Trek era. Other Trek costumes are welcome at events generally.

Department responsibilities

Command

  • Coordinate chapter activities and help departments work together.
  • Review department reports, promotion requests and award nominations.
  • Keep the chapter's plans and standards clear to the crew.
  • Help organise major events and chapter projects.
  • Support Chiefs when a concern needs to be taken further.
  • Mentor department heads and offer practical guidance.
  • Represent the Typhon when speaking with other chapters and wider STARFLEET contacts.

Engineering

  • Organise the construction and upkeep of large props and set pieces, including the Captain's chair and booth displays.
  • Plan how displays will be set up and packed away at events.
  • Help members learn fabrication, painting, woodworking and similar skills.
  • Make sure tools, power and heavy items are handled safely and within venue rules.
  • Encourage engineering-themed and interactive projects.

Operations

  • Organise bridge and crew simulations where suitable.
  • Plan crew roles, equipment and other practical details for events.
  • Support members making Operations-themed props and displays.
  • Coordinate newsletters, announcements and social updates with Command Staff. Communications currently sits with Operations rather than a separate department.
  • Keep the event team informed so activities run smoothly.

Security

  • Help the crew follow chapter and venue rules at events.
  • Organise photo queues and help visitors move through the booth.
  • Keep an eye on chapter property and ask venue staff for help if a safety issue arises.
  • Help moderate chapter Facebook and Discord spaces when authorised.
  • Help with minor disagreements and bring serious matters to Command Staff.
  • Encourage security-themed props and costumes that meet venue rules.

Medical

  • Help the crew remember to take breaks and stay hydrated at events.
  • Organise medical-themed props and displays.
  • Know how to contact venue staff, qualified first aiders or emergency services when needed.
  • Help members plan activities that are comfortable and practical for them.
  • Encourage hygiene when the crew shares props or equipment.
  • Do not collect private medical details unless Command has approved a clear process and the member has agreed to it.

Science

  • Organise science-themed chapter activities and displays.
  • Help members create props and interactive projects.
  • Check that demonstrations are suitable for the venue.
  • Research Star Trek details for displays and discussions.
  • Encourage members to share the science topics they enjoy.
